The Implementation process was organized through the development of several "Teams" that worked in collaboration to ensure a successful and effective transition. The project implementation goals of the Implementation teams are to:

  • Improved services to internal and external users;

  • Increased staff access to accurate, useful, and timely data;

  • Provide students with direct access to appropriate information;

  • Meet community college, state and federal reporting requirements;

  • Enhance decision making and planning capabilities; and

  • Ensure reliable service throughout the system's life cycle.

Implementation teams will be tasked with specific duties during the software implementation process.  There will be a hierarchy of teams at the module, application and campus level. Module teams will focus on very specific applications.  Module teams will be formed on an ad-hoc basis, and will deliver their work products to the appropriate application team.  Each application team will have responsibility for one Datatel application, except for the core team which focus on the integration of all modules.  There will be a steering committee to resolve conflicts and carry forward policy changes that allow the campus to fully benefit from the opportunities this system provides.

Steering Committee/Oversight Team - Oversee the entire project.  Review decisions from application teams and resolves any discrepancies.  Conveys proposed policy changes to the Board of Trustees.

CORE Team - Functions:  Identify core data elements to be included in the database.  Define shared codes, demographics, rules, data standards, naming conventions and reporting requirements.  Translate current processes into the Colleague system workflow.

Student Team - Functions:  Training and implementation for student components.  Determine all Colleague functions supporting demographics, admissions, financial aid, counseling and other student support services, registration, student accounts receivable, course file management, class schedules, grades, transcripts, degree audit and related activities for students whether they are involved on campus, in extended education or in community education programs.

Human Resources Team - Functions: Training and implementation for HR components.  Examine and determine all Colleague functions supporting human resources including recruitment and hiring of staff, management of personnel files, benefits administration, payroll and personnel legal compliance issues and related areas.

Finance Team - Functions: Training and implementation for finance applications.  Work with all areas related to the business functions of the college, including accounts receivable and payable, purchasing, budgeting, auditing, insurance, fixed assets and auxiliary enterprises.
